As a member of the HR Systems & Controlling Team, the Senior HR Systems & Controlling Specialist is responsible for analyzing, monitoring, and managing HR-related costs and budgets to ensure efficient use of resources. Additionally this person is responsible for co-owning, administering and continuously optimizing Storyblok's core HR systems. This role involves creating HR reports for impactful planning and decision making. Additionally, the incumbent will assist in maintaining, evaluating and implementing new systems and modules, offering internal consultancy and guidance to external stakeholders.

Responsibilities

  • HRIS Management:
    • Implement, manage, maintain and continuously optimize company’s HR Tech stack, including systems for human resource information (HRIS), talent acquisition (ATS), learning management (LMS) and any other employee engagement platforms for best in class employee experience
    • Ensure the HRIS is optimized to meet business needs and is aligned with HR workflows.
    • Maintain data accuracy, integrity, and security across the system.
    • Monitor and troubleshoot system issues, liaising with IT and third-party vendors for timely resolutions.
    • Provide ongoing support to HR team members, managers, and employees on HRIS functionalities.
    • Serve as the primary contact for HRIS-related queries and support and provide accurate and timely support
  • HR Controlling
    • Monitor, and manage HR-related costs and budgets to ensure efficient use of resources
    • Assist in the preparation and management of the HR department's budget
    • Monitor HR expenses, including salaries, benefits, recruitment costs, training expenses, and other HR-related costs
    • Work closely with HR and finance teams to adjust forecasts and budgets as necessary
    • Identify areas for cost savings within HR operations without compromising quality or employee satisfaction.
    • Collaborate with HR teams to streamline processes, reduce redundancies, and enhance efficiency.
  • Process Improvement & Automation:
    • Identify and implement opportunities to automate HR processes for a smooth employee experience
    • Evaluate system capabilities and recommend enhancements that align with organizational goals.
    • Knowledge/experience in using AI-driven tools and technologies to enhance workforce analytics, streamline HR processes, and improve decision-making
  • Reporting & Analytics:
    • Responsible for the HR KPI Reporting. Generate HR reports and analytics to provide insights on key HR metrics
    • Develop dashboards to support data-driven decision-making
    • Ensure data is accessible, reliable, and usable for compliance and business analysis purposes.
  • Compliance & Security:
    • Ensure compliance with data protection regulations and company policies regarding handling employee information
    • Monitor system security protocols and user access to protect sensitive HR data.
    • Assist in audits and compliance checks related to HR Data and systems
  • Communication & Collaboration:
    • Collaborate with internal and external stakeholders to ensure the HRIS meets the needs of all users
    • Plan efficient communication to respective stakeholders for any system changes, updates or enhancements in a clear and concise manner.

Requirements

  • Prior 4+ years working with/implementing HR systems (BambooHR, Greenhouse is a plus, but not required) with a focus on scale-up environments, preferably within the SaaS or technology industry
  • Prior experience with HR controlling (budget planning, cost evaluation, reporting)
  • Intermediate MS Office skills (especially Microsoft Excel and Google Sheets)
  • Systems thinking skills and basic knowledge of APIs
  • Experience in managing vendor relationships and build partnerships where solutions are built with vendor consultancy and support
  • Excellent interpersonal and technical support skills
  • Strong attention to detail and demonstrated analytical, problem-solving
  • Global mindset and experience in working with internal diverse teams
  • Ability to create guidelines and train people on our internal processes
  • Good knowledge of applicable compliance & data privacy laws (GDPR and other relevant)
  • Self-starter, Curious, data driven mindset with cross team and cross functional experience and a problem solving mindset
  • Open to feedback and trustworthy

Nice to Have

  • PowerBI knowledge
  • Knowledge/experience in using AI-driven tools and technologies
  • Coding languages (for connecting systems via APIs)
  • Previously worked with legal, compliance, and risk management topics.
